For hotels and motels

Today's rooms, and the tips from the shift.

A hotel day is the room board, where the desk marks a room vacant or occupied and housekeeping sees the same room, a work request opened from that room, the note the desk leaves for the next shift, and cash tips with the hours export.

The week before AppyShift

What hotel managers are juggling

Housekeeping finds out late

Whether a room is vacant or occupied is a radio call, and the list is on paper at the desk.

The board and the schedule disagree

The desk knows which rooms are turning. The schedule still shows yesterday.

Tips in two systems

Gratuities are rebuilt before payroll.

Each room's status

The desk marks a room vacant or occupied. Housekeeping sees that on the same board, with who is assigned and the clean for the day.

  • Vacant or occupied, shared with housekeeping
  • The attendant is on the room
Room board for a sample hotel with 20 rooms on two floors: 13 to clean, 2 being cleaned, 2 to inspect, 2 ready and 1 do not disturb. Each room shows occupied or vacant, its clean and its attendant, and room 202, vacant and being cleaned by Jamie, has a work request.

A work request for a room

Open the room and send a work request. It stays on that room for housekeeping or maintenance.

  • The request is opened from the room
  • It is a work request, not a client visit

The desk log

A late checkout is a note the next shift reads, not a text thread.

  • The room and the time
  • The next shift sees it in the log
Front desk log for a sample hotel on Oct 27: a group arriving at 4:00 PM, a flagged follow-up that the ice machine on floor 2 is not working, room 105 on do not disturb until noon, and a morning desk handoff about a late checkout in room 204.

The front desk log. The morning desk's handoff says room 204 is a late checkout.

Cash tips

Tips are entered with the person and the shift, then leave with the hours export.

  • Cash tips on the shift
  • They go out with the hours
Cash tips in the employee app for a sample hotel: a room attendant's 9:00 AM to 3:30 PM shift today with $22.00 typed in, Save and No cash tips, and the reminder that tips of $20 or more in a month are reported to the employer.

After clocking out, a room attendant enters the cash tips from that shift on the phone. They leave with the hours export.

Questions from hotel managers

What this setup does, and what it leaves with you.

Can AppyShift schedule different hotel departments?

Yes. Managers can define positions and work locations, then create and publish scheduled shifts using that structure.

What happens if a housekeeping or desk employee calls out?

An enabled self-service call-out records the affected shift. The shift can reopen for qualified pickup and configured notifications can be sent.
